World Vision is hiring a Senior Executive Administrator to serve in our Marketing Division.


At a Glance

Role: Senior Executive Administrator

 

Location: Hybrid from Seattle Area – must be able to commute to our office in Federal Way, WA for key meetings and events

Reports to: Chief Marketing Officer

Required Experience: Requires a minimum of 5-8 years of work experience in executive administration.

Work Authorization: Must be authorized to work in the U.S.A. for any employer.

Required Hours: 8am – 5pm Pacific Time Zone

Status: Non-Exempt

Estimated Salary Range: $75,000 - $87,000 ($36.00/hr - $41.83/hr)


 

The Job
World Vision is looking for a Senior Executive Administrator to support our Chief Marketing Officer (CMO). This role is ideal for someone who enjoys working in a fast-paced environment and enjoys managing details and complex administrative projects.

S/he will serve the CMO by:

  • Work with the CMO to identify and execute the day-to-day operations and tasks needed to support the division strategies and key business initiatives.
  • Perform high-level administrative functions to support the CMO and Marketing Division with excellence, discretion, and accuracy.
  • Manage complex schedules, meetings, and travel itineraries to ensure the team is highly effective and functioning well.
  • Coordinate and plan internal events on behalf of the CMO such as division or cross-functional meetings, forums, etc.
  • Prioritize and/or respond to communication and business requests by understanding key business needs.
  • Works directly with key internal contacts, including regular interaction with the WVUS President's office, other senior WV leaders (US and International), and external contacts, including members of the Board of Directors, donors, and marketing agencies, on highly-sensitive, complex and confidential issues.

 Your Responsibilities Will Include:

  • Keep Christ central in individual and corporate life.
  • Actively participating in and contributing to the spiritual disciplines of the organization (Christian conduct, chapel, prayer, worship, devotions, and leadership of devotions); incorporate WV Core Values into decisions within the role.
  • Manage the executive's schedule with meeting agendas; ensure meetings are prioritized.
  • Ensure the executive is properly prepared for all meetings with required briefings and reports.
  • Reschedule and prioritize commitments as needed and ensure key priorities are addressed promptly.
  • Complete or coordinate the completion of assigned projects in support of division goals, ensuring project objectives and stakeholder expectations are met.
  • Perform research and prepare project reports on confidential and/or technical issues for leadership.
  • Arrange meetings and conferences, which may include the development of an agenda, presentation materials, event site, and food and beverage selection.
  • Prepare and edit internal and external reports and presentations as needed.
  • Make domestic and international travel arrangements including air, car, and hotel arrangements.
  • Review incoming correspondence and ensure appropriate and timely response.
  • Use appropriate discernment and knowledge of organizational policies and practices to assess when to forward issues onto other leaders and/or to draft responses that appropriately and accurately represent the views of the executive.
  • Identify and lead process simplification and improvement initiatives within scope of role.
  • Maintain technical, confidential, and special project files in an organized, easy-to-use format.

 Education and Experience:

  • Bachelor’s degree preferred.
  • Requires a minimum of 5-8 years of work experience in executive administration, large-scale office administration, project coordination, or business/program operations.
  • Previous experience with executive administration.
  • Previous experience managing complex schedules in a fast-paced work environment.
  • Previous experience planning and coordinating events.
  • Proven track record of high-level and executive administration.

 Salary Range & Benefits:

  • WVUS Pay Grade Level: 222
  • The estimated hiring range is $75,000 - $87,000 a year.
  • The full range for this position is $59,641.27 - $90,026.39.
  • This range applies to locations with a market similar to our Washington D.C. and Seattle-area office. A different range may apply based on your work location.
  • Job offers are based on relevant qualifications and pay equity.
